Your Responsibilities

  • Administrative Duties:

    - Manage daily operations of the tutoring office.

    - Handle phone calls, emails, and in-person inquiries, providing information and assistance as needed.

    - Maintain accurate and up-to-date records of students, tutors, schedules, and payments.

    - Prepare and distribute weekly schedules for tutors and students.

    - Coordinate with tutors to ensure coverage for all scheduled sessions.

  • Customer Service:

    -Greet and assist students, parents, and tutors in a friendly and professional manner.

    - Address and resolve any concerns or issues raised by students or parents promptly.

    - Conduct orientation sessions for new students and parents, explaining tutoring policies and procedures.

  • Financial Management:

    - Manage billing and invoicing for tutoring services.

    - Process payments and maintain accurate financial records.

    - Prepare financial reports and assist in budgeting and financial planning.

  • Staff Coordination:

    - Assist in the recruitment, hiring, and training of new tutors.

    - Schedule and coordinate tutor meetings and professional development sessions.

    - Monitor tutor performance and provide feedback to ensure high-quality tutoring services.

  • Office Management:

    - Ensure the tutoring center is clean, organized, and well-maintained.

    - Order and manage office supplies and tutoring materials.

    - Implement and maintain office policies and procedures.

  • Technology and Systems:

    - Manage the tutoring center’s scheduling and record-keeping software.

    - Troubleshoot basic technical issues and coordinate with IT support as needed.

    -Ensure data security and confidentiality of student records.

Our Perfect Candidate

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.

  • Proven experience in office administration or management, preferably in an educational setting.

  • Excellent organizational and multitasking abilities.

  • Strong communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite and experience with scheduling software.

  • Ability to handle sensitive information with discretion and confidentiality.

  • Customer service orientation and problem-solving skills.

  • Ability to work independently and as part of a team.
